Workflow & Approvals
The section Workflow & Approvals is the central control point for website drafts that are not yet live (news, offers, events, shops, services, jobs, etc.). Claude, the AI assistant and Center Manager, submits them here; the editorial team reviews and approves with a click.
Social Media Posts (Facebook, Instagram, etc. via Outstand) have their own approval view under Social Cockpit → Approvals (/dashboard/social/approvals) — no longer as the main route in this list. Details: Social Media Approval.

Where do drafts come from?

Interaction with Dispatch and Content Planner
- Dispatch (
/dashboard/dispatch): Create or receive emails, AI triage, optionally create draft →ContentDraftwith Dispatch as the source.
On the Dispatch detail page (/dashboard/dispatch/[id]), the message on the left is compact (content and attachments); on the right, you will find three tabs: AI & Triage, Assignment (workflow, fields, save), and Draft (website/social, create draft). Sender, subject, and received date are in the header. - Workflow & Approvals (this page): Review, edit, approve or reject website drafts. Direct link:
/dashboard/workflow?highlight=<contentDraftId>. Old links with?kind=socialredirect to Social Approvals (/dashboard/social/approvals). - Content Planner (
/dashboard/content/planner): After publication, scheduled content appears in the calendar (website and social); desired dates from Dispatch can be included in the draft.
The Editorial Flow bar (Steps 1 → 2 → 3) appears uniformly under Dispatch, Workflow & Approvals, and Content Planner — the current step highlighted, the others accessible by click. On the workflow page there are quick links in the header to Dispatch, Planner, and Social Approvals.
Status Workflow
PENDING → IN_REVIEW → APPROVED → EXECUTED (live)

Approving or Rejecting Drafts
In the Dashboard (recommended for editorial team)
- Open under
/dashboard/workflow - Expand draft → Detail panel shows all fields with German labels (technical JSON keys translated, as far as known)
- Show details / Hide details toggles the panel; Edit is possible for pending, in review, approved, and rejected drafts (e.g., to correct text or images in the draft). For image fields: Upload image uses the same Bunny CDN as news & co.; the URL can be manually adjusted afterward.
- Approve → Content is immediately created and live
- Reject → enter an optional rejection reason (visible to Claude/Manager)
- Delete (trash can icon) → permanently remove draft; a confirmation dialog appears. Published content is not deleted. If the draft was linked to a Dispatch email, this link is severed in the inbox. When called with
?highlight=…, the parameter is removed from the URL after deletion.
Customer Contact: AI supports, human stays in conversation
Automation should relieve, not replace personal contact between customer service and tenants/centers. Therefore:
- After approving or rejecting, a dialog opens with an AI suggestion for subject and email text towards the sender — including a short internal justification of why personal contact makes sense (trust, no pure bot communication).
- Customer Contact (button with a heart-handshake icon): available at any time for pending or in-review drafts — same suggestion, without closing the draft.
- If the draft comes from Dispatch and already contains the AI analysis
customerCommunication, this block also appears in the expanded detail panel (copyable).
The texts are drafts for adjustment; sending does not occur automatically from the cockpit.
If Claude has grouped multiple drafts under a campaign label (e.g., Summer Sale Deichmann July), you can filter by Campaign and approve all at once.
Directly in the Content Overview
Drafts also appear directly on the respective content pages — e.g., under News, Offers, Events, Shops. A golden notification area appears at the top with all open drafts for this type. Approving is directly possible there, without needing to switch to the workflow area.
Via Claude (for Campaign Approval)
Claude can also approve drafts directly — useful when you tell Claude:
Approve all drafts from the campaign "Summer Sale Deichmann July".
Claude lists the drafts and approves them one by one. The content goes live immediately.
Campaign Labels
When Claude creates multiple drafts at once (e.g., an offer for 15 centers), they are grouped under a common campaignLabel. This makes bulk approvals easy:
- Filter by campaign in the workflow filter
- Approve all drafts from a campaign at once
- Claude can also directly ask about the campaign: “How many drafts does campaign X have?"

What appears in the Detail Panel?
The expandable detail panel shows all fields of the draft dynamically — depending on the content type for example:
- For Offers: Title, description text, valid from/to, image, discount, center
- For News: Headline, teaser, content, image, publication date
- For Shops: Name, category, floor, logo, opening hours, website
- For Events: Title, location, date, image, description
What happens upon approval?
As soon as a draft is approved:
- The system creates the real content in the database (news, offer, event, shop, or service)
- External image URLs are automatically uploaded to BunnyCDN — no manual upload required
- The draft receives the status EXECUTED
- The content is immediately visible on the website and in the app
